Applewood Annual Meeting minutes

On November 27, 2007, the homeowners of the Applewood Homes Association met in the parish hall of the Prince of Peace church. 36 homeowners were in attendance.

David Watts called the meeting to order and welcomed the group to our November meeting.

OLD BUSINESS

Dan Bentzinger read the minutes to the previous meeting. With a motion and second from the floor, the report from the Secretary was approved.

Jennifer Kennett reviewed the treasurer's report including detailed cash flow statements and expenditure receipts from the previous five years. These documents were made available for all to review and discuss. With a motion from the floor, the report from the treasurer was approved.

David Watts reviewed many of the recent accomplishments of the board including activities intended to improve the safety and upkeep our neighborhood. We reviewed the process for working with the City of Olathe on sidewalk repair and home repair.

Jennifer Kennett put forth a budget proposal for 2008. An open discussion was held on each line item. The majority of the discussion was focused on the proposed allocation for a neighborhood picnic. Several new ideas were put forth to reduce the cost of the event including a few items being donated. The motion to approve the budget as presented was approved by a vote of 26 to 5.

The board would like especially recognize Troy Hilton who offered to donate the moonwalk for the picnic next year. If you need a moonwalk for an event that you are planning, please contact Troy at (913.927.1042)

NEW BUSINESS

Dan Bentzinger made a motion to revise the supplement to the Applewood Declaration of Restrictions, dated October 14, 2000. The existing supplement included references to specific manufacturers and colors of roofing materials. The language was relaxed slightly to remove that reference. The change was requested to provide regulations that could better withstand the test of time with regard to changing manufactures and product lines. The intention is to continue to strive towards high quality roofing materials that add to the aesthetic value of the neighborhood. Products should be selected with a minimum of a forty-year life and matching the appearance of natural materials. All of the roofs that have already been replaced meet or exceed the guidelines. As a reminder, please have all external modifications to your home approved by our Architectural Committee.

A motion was taken from the floor to allow additional alternative siding materials to be applied in the neighborhood. After a brief discussion, the task was given to the Architectural committee to review available materials, meet with manufacturers, and to produce a formal recommendation to the homeowners. Since we were not aware of an imminent siding project, the timeline for this proposal was set for the November meeting in 2008. A formal vote to further modify the Declaration of Restrictions regarding siding materials will be conducted at the next annual meeting.

An election was held for the Board of Directors. Each candidate was given the opportunity to address the homeowners and to field any questions from the floor. The following homeowners were elected to the Board for the upcoming year.

Several homeowners also acknowledged Mike Farris for his tenure on the Applewood Homes Association Board of Directors. Mike donated several years of service to our neighborhood. Thank you Mike !
